Otter is seeking an Executive Assistant who is passionate about energy and sustainability.

The Executive Assistant will be supporting the President and the senior management team. This is a fast-paced role with a lot of opportunities to excel and learn new skills.


  • Fielding calls and email inquiries as well as online chats
  • Calendar Management
  • Scheduling meetings, including calls & virtual meetings
  • Ordering supplies and general office organization
  • Booking accommodations as required
  • Following up with clients, including purchasing & sending gifts to clients
  • Issuing invoices and ensuring timely payment
  • Following up on past due accounts
  • Issuing payments to vendors & suppliers
  • Filing Ministry of Labor notices; ensuring all permits are pulled
  • Ordering company apparel
  • Ordering equipment for various worksites
  • Vendor management
  • Applying for grants
  • Assisting with the creation of business plans
  • Basic bookkeeping & financial statement management
  • Assist with managing the quarterly marketing budget and monthly reporting
  • Social media channel posting and reporting as required
  • Managing advertising and related billing, contracts, etc
  • Delivering documents/permits to job sites as required
  • All other duties as assigned


  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Discretion and confidentiality are a must
  • Ability to efficiently handle a variety of situations and tasks
  • Extremely detail-oriented
  • Excellent MS Office knowledge, specifically Excel
  • Proficient with all G-Suite products
  • Proficient with QuickBooks Online
  • Take pride in doing quality work
  • Must be a self-starter, self-motivated, and willing to learn and follow instruction
  • Ability to have fun while staying focused on completing your tasks


  • College Diploma/University Degree
  • 3-5 years experience as an EA, preferably in the construction industry
  • Valid Ontario driver’s license & vehicle is required
  • Accounting or Business Management background is an asset

Job Types: Full-time, Permanent

Salary: $50,000.00 per year


  • 8 hour shift
  • Day shift
  • Monday to Friday


  • Executive Assistant: 3 years (Preferred)
  • Construction Admin: 1 year (Preferred)


  • Driver’s License (Preferred)
